Overview
Once your MD Switch is complete, you're working with a new Medical Director (MD) and need to update several systems and agreements to reflect the change. This article covers what to update yourself, what Moxie updates for you, and how your new MD's payment is set up.
Before you start
This article applies to any MD Switch scenario, including switching between external MDs, switching from an external to an in-house MD, or switching from an in-house to an external MD.
Update your compliance and clinical documentation
Complete the following updates as soon as your MD Switch is complete:
[ ] Update your insurance policy to list your new MD (or professional corporation (PC), if applicable). See Insurance requirements & preferred providers for how to add an MD to your policy.
[ ] Archive your existing service protocols in the Moxie Suite electronic medical record (EMR) and request new ones with your new MD. See FAQ: Service Protocols & Standing Orders for how protocols and standing orders work.
[ ] Update any external pharma accounts to list your new MD.
[ ] If you work with midlevel providers, have them complete new supervision or collaboration agreements with your new MD.
[ ] If you use an external Good Faith Exam (GFE) system, update it to list your new MD.
❗ Important — These updates don't happen automatically. Your practice is not in compliance until your protocols, supervision agreements, and external accounts reflect your new MD.
What Moxie updates for you
Moxie updates the following on your behalf after your MD Switch is complete:
Your medspa website
Your Moxie pharma accounts
You don't need to submit a request for either of these.
Understand your new payment setup
After your MD Switch is complete, Moxie sets up a recurring subscription for your MD oversight payments. How your fee is determined depends on your MD type:
In-house MD: Your fee follows Moxie's standardized fee structure, based on your service menu, revenue, and client volume. Your PSM can confirm your fee tier, but the rate itself isn't something you negotiate with them.
External MD: You and your MD set the oversight fee directly with each other. Moxie facilitates the payment based on the rate you both agreed on.
In both cases, the subscription requires a payment method before the first charge can process.
❗ Important — Your payment method does not automatically carry over from your previous MD's subscription to your new MD's subscription. You need to submit a new payment method before your first payment with your new MD processes. Follow the steps in Update your payment method below.
If you were enrolled in autopay with your previous MD, you need to submit one manual payment under your new MD first. Moxie can only turn autopay back on for your account after that manual payment goes through.
Your PSM confirms the exact first payment date with you directly. If the date or the fee amount doesn't look correct, contact your PSM before the first charge processes.
If you have unused oversight remaining from your previous MD's billing period, Moxie refunds that unused portion to you. This is the same proration described in Switch your Medical Director.
Update your payment method
Since your payment method doesn't carry over from your previous MD, use the following steps to submit a new one for your new MD:
Submit your new bank account information using the MD ACH Form. You can also email [email protected] or contact your PSM if you have questions before submitting.
Stripe verifies your new bank account using one of the following methods:
A $0.01 deposit with a code starting with ACCTVERIFY SM-xxxx, followed by your MD's name. You'll need to provide this code.
Two small deposits, each between $0.01 and $0.90. You'll need to report both amounts.
You'll typically receive these deposits within 2 business days, followed by an email titled "[TIME SENSITIVE] MD Payments Verification & Payment Processing." Respond with the required verification codes promptly to avoid payment delays.
If you don't respond within 2 days, you'll receive a follow-up email. If your verification code expires, you'll need to confirm again before the process restarts.
✏️ Note — Only bank accounts are accepted for Automated Clearing House (ACH) transfers when paying your MD fee. Credit cards can't be used to complete ACH setup or MD payments.
✏️ Note — Your MD billing invoices display your MD's name. The corresponding bank transaction may instead show your MD's LinkedIn URL, LLC business name, or website. If you don't recognize a charge for this reason, confirm with your bank that the transaction is verified before disputing it.
Confirm the result
Once you've completed the updates above, your protocols, agreements, and external accounts all reflect your new MD, and your MD oversight payments process automatically each month. If you have questions about any step, contact your PSM.
