Overview
Use this article to find and download your Sales Tax Certificate in Moxie Suite. A Sales Tax Certificate (also called a seller's permit or sales and use permit, depending on your state) is what allows your medspa to legally sell retail products and collect sales tax from patients. How you get yours depends on whether your practice operates under a Moxie professional corporation (PC), a Moxie Managed PC, or a non-Moxie PC.
Before you start
If you operate under a Moxie PC or Moxie Managed PC, Moxie files your Sales Tax Certificate for you. You do not need to apply for it yourself.
If you operate under a non-Moxie PC (an external PC you own independently), obtaining a Sales Tax Certificate is your responsibility, since it is tied to your own PC or LLC rather than a Moxie entity. See [Register for a Sales Tax Certificate by state] for state-specific guidance.
You need access to Moxie Suite to check your certificate status or download a copy.
Check your Sales Tax Certificate status
Go to Moxie Suite, then Compliance Hub to see your Sales Tax Certificate status. The Sales Tax Certificate card shows one of the following statuses:
Status | What it means |
Completed | Your Sales Tax Certificate has been filed, received, and uploaded. You can open and download it. |
Not completed | No Sales Tax Certificate request has been submitted for your practice yet. Contact your Provider Success Manager (PSM) if you believe you should have one on file. |
Once your certificate reaches Completed status, an Expiration Date also appears on the card. Some states issue certificates that do not expire, while others require periodic renewal, so check this field periodically to confirm your certificate is still current.
Retrieve your Sales Tax Certificate
Follow these steps to retrieve your Sales Tax Certificate from Moxie Suite:
From your Moxie Suite dashboard, go to Compliance Hub.
Select Professional Corporation Set-Up.
Select Open PC Set-Up.
Find Sales Tax Certificate.
Select the three dots (⋯) on the right side of the Sales Tax Certificate row.
Select View Document.
Your Sales Tax Certificate opens for you to view or download.
✏️ Note — You also receive a copy of your Sales Tax Certificate by email when it is first processed. The copy in Compliance Hub is available any time after that as a permanent reference.
Confirm the result
After selecting View Document, your Sales Tax Certificate opens in a new view where you can save or print it. If your certificate has an expiration date, confirm it is still valid before relying on it for a filing or audit request.
If you have a non-Moxie PC
If your practice operates under a non-Moxie PC, Moxie does not file or store your Sales Tax Certificate, since it is tied to your independent PC or LLC rather than a Moxie entity. See [Register for a Sales Tax Certificate by state] for a state-by-state registration guide.
❗ Important — If you set up your own Sales Tax Certificate independently while a certificate was also filed under a Moxie PC in the past (for example, after switching PC types), you may end up with two active accounts. This is not necessary. Contact your PSM to consolidate your filings and avoid duplicate notices from your state.
Contact your Provider Success Manager for certificate issues
Contact your Provider Success Manager (PSM) if you have any issue with your Sales Tax Certificate, including a missing certificate, incorrect information, an expired certificate, or a notice from your state. Your PSM can resolve the issue on your behalf.
✏️ Note — If you use a Moxie PC and also set up your own Moxie Balance account, Moxie cannot provide direct login access to your state tax portal (for example, CDTFA in California), since the certificate is filed under Moxie's PC. Your PSM can pull records, certificate copies, or account numbers for you instead.
